PRIVACY POLICY

This privacy policy applies to the use of your personal information by the Newhaven Yacht Club

Scope of this privacy policy and updates.


The Newhaven Yacht Club (NYC) may update this privacy policy from time to time, and an updated version will be placed on this page. Regularly reviewing this page ensures that you are always aware of the information the NYC collects, how it is used and under what circumstances, if ever, the NYC will share it with any other parties.


Rationale


The NYC takes appropriate technical and organisational measures to secure your personal data. The General Data Protection Regulation (GDPR) came into force in May 2018, which we must comply with. Failure to do this could result in a serious financial penalty.


As NYC requires a certain amount of data to provide you with information about club activities, we need to hold the data requested on the membership joining form. Under GDPR, consent is required for us holding any personal data about you. The regulation is not retrospective, so positive consent will only apply to new member applications. The membership form now includes a box to tick indicating that you consent to us holding the data about you. If you do not wish us to hold your information, we will be unable to process your application.


Security and use of your personal information


If you voluntarily provide us with any requested information, we use that information only to ensure the effective running of NYC. The information is used to generate a Membership Register. We will not use the information for other purposes, and we do not share it with anyone outside of NYC. The Committee will regularly review the information we hold to ensure that it is necessary for the effective running of the club. Any data deemed to be unnecessary will be removed.


The personal data which the club holds is never modified or disclosed to a third party.  Members will be asked to actively consent to us holding their data at the time of membership renewal or application for membership.


The key information we hold about members is their name and address, contact phone number(s), and email address.


Your name and address are essential for us to be able to communicate with you, and ensure that items, such as membership packs and membership cards can be mailed to you.


Your contact phone number(s) allow us to contact you, if necessary.


Your e-mail address is used as the prime method of contact for event notification, Newsletter distribution and membership renewals. You may, at any time, decide not to receive electronic communications from us, however as this is NYC’s prime notification medium your membership will cease at the next renewal date.


All of your personal data will be deleted from our records when your membership ceases.
